Before You Start
Sending a package through DHL is not complicated, but a few minutes of preparation saves time, money and stress. Before you leave the house, answer these five questions:
- What exactly am I sending? Documents, a parcel, electronics, or commercial goods.
- Where is it going? Within Benin City, elsewhere in Nigeria, or internationally.
- How much does it weigh? Roughly — even an estimate helps you get a quick quote.
- Is it allowed? Some items cannot be shipped, or need extra documentation.
- When does it need to arrive? This determines whether you need express or standard service.
Once you can answer those, the rest of the process is straightforward. Here is the full step-by-step guide.
1. Choose the Right Service
DHL offers different service levels depending on how fast you need your shipment to arrive and where it is going. At our Benin City service points, the most common options are:
| Service | Best For | Typical Speed |
|---|---|---|
| Same-Day Local Delivery | Packages moving within Benin City | Same day (book before 12:00 PM) |
| Domestic Express | Lagos, Abuja, Port Harcourt, other Nigerian cities | 1 – 3 business days |
| International Express | Documents and parcels to the UK, USA, Europe, Middle East, Asia | 2 – 6 business days |
| Freight Forwarding | Bulk cargo, business shipments, air and ocean freight | Depends on route and mode |
| E-commerce Fulfilment | Online stores needing warehousing and last-mile delivery | Ongoing, per order |
Not sure which one fits? Describe your shipment to our team and we will recommend the most cost-effective option rather than the most expensive one.
2. Pack Your Item Properly
This is the step most people rush, and it is the step that most often causes damage or delays. Good packaging protects your item and helps it move quickly through sorting facilities.
Packaging rules that matter
- Use a new, rigid box sized to the contents. An oversized box lets items shift and crush.
- Wrap fragile items individually with bubble wrap or foam.
- Fill all empty space with padding so nothing moves when the box is shaken.
- Seal every edge — top, bottom and all four sides — with strong packing tape.
- Put a copy of the address inside the box in case the outer label is damaged.
- Remove old labels and barcodes so scanners do not read the wrong information.
- Mark fragile items clearly and tell our staff at the counter.
- Use DHL envelopes for documents — lightweight, waterproof and bend-resistant.
Documents vs parcels
- Documents go in a flat DHL envelope. Fast, light and cheapest to send.
- Small parcels go in a padded bag or small rigid box.
- Large or heavy items need a double-walled box with internal padding and clear weight marking.
3. Prepare the Receiver's Details
Incomplete receiver information is the single most common reason shipments get delayed or returned. Write these down before you arrive:
- Full name of the person receiving the shipment.
- Complete physical address — street, house number, area, city, state.
- Phone number of the receiver (very important for delivery calls).
- Postal or ZIP code — required for most international destinations.
- Email address — useful for customs notifications and delivery updates.
- Country — for international shipments, spelled correctly.
4. Bring the Right Documents
What you need to bring depends on whether you are shipping locally or internationally.
For all shipments
- A valid means of identification — National ID card, driver's licence, voter's card or international passport.
- The receiver's full name, address and phone number.
- A clear description of what is inside the package.
- The declared value of the contents.
For international shipments, also bring
- Commercial invoice — required for most international shipments and all commercial goods.
- Packing list — itemised list of what is in the box.
- Customs declaration — completed with our staff at the counter.
- Any permits or certificates required by the destination country.
For business or bulk shipments
- Company details and, where applicable, a tax identification number.
- Purchase order or invoice documentation.
- Details of any previous shipping account, if you have one with us.

6. Complete the Waybill
The waybill is the document that travels with your shipment. It tells the network where the package is going, who sent it and what is inside. Our staff will help you fill it out, but here is what each part means:
- Sender details — your full name, address, phone number and email.
- Receiver details — the recipient's full name, physical address, phone number and postal code.
- Shipment contents — an honest description of what is inside, e.g. "documents", "clothing", "mobile phone".
- Quantity — how many items are in the package.
- Declared value — the monetary worth of the contents, used for customs and insurance.
- Weight — filled in by our staff after weighing.
- Service type — express, domestic or international.
- Signature and date — your confirmation that the details are correct.
7. Weighing and Payment
Once your waybill is complete, your shipment is weighed and priced. Here is what happens:
- Actual weight is measured Your package goes on a scale. This is its physical weight.
- Volumetric weight is checked For large but light packages, we calculate length × width × height ÷ the DHL divisor.
- The higher weight is charged You pay on whichever is greater — actual or volumetric weight. This is standard across the courier industry.
- Price is confirmed The counter staff give you the final figure based on destination, weight and service level.
- You pay Cash, bank transfer and card payments are accepted at all three offices.
- You receive a receipt Keep it safe. It is your proof of shipment and contains your tracking number.
Understanding volumetric weight
Volumetric weight exists because a large, light box takes up space that could carry heavier goods. If you are shipping something bulky but light — cushions, empty containers, large but hollow items — try to reduce the box size. A smaller box can genuinely reduce your cost.
Payment methods accepted
- Cash
- Bank transfer
- Card payment at the counter
- Invoicing for approved corporate accounts
8. Collect Your Tracking Number
Every shipment processed at our Benin City service points receives a unique tracking number. It appears on your receipt and on the waybill copy you keep.
Before you leave the counter, confirm three things:
- Your tracking number is clearly written and legible.
- Your receipt shows the correct destination and service type.
- Your phone number is correct so we can reach you if there is an issue.
9. Track Your Shipment
Once your package is in the network, you can follow it from pickup to delivery using your tracking number.
- Go to the official DHL tracking page.
- Enter your tracking number exactly as printed.
- View the latest status — collected, in transit, customs, out for delivery, delivered.
- If the status has not changed for an unusual period, contact us for a manual check.
Need help reading a tracking update? Call 09034504707, 08130947747 or 08073596183 and our team will explain exactly where your shipment is.
What the common tracking statuses mean
- Shipment information received — the waybill has been created; the package may not yet be physically collected.
- Shipment picked up — your package is in our hands.
- In transit — moving between facilities or countries.
- Customs clearance — being processed by customs at the destination country.
- With delivery courier — out for delivery that day.
- Delivered — signed for at the destination.
- Delivery attempted — the courier could not reach the receiver; a re-delivery is usually arranged.
How Long It Takes
Delivery time depends on the destination, the service chosen and how quickly customs clears the shipment. The table below gives a general guide.
| Destination | Typical Delivery Time | Notes |
|---|---|---|
| Within Benin City | Same day (book before 12:00 PM) | Local dispatch across Benin City and environs |
| Lagos, Abuja, Port Harcourt, other Nigerian cities | 1 – 3 business days | Depends on the state and accessibility of the address |
| United Kingdom & Europe | 2 – 5 business days | Customs may add time |
| United States & Canada | 3 – 6 business days | Destination city and customs affect timing |
| Middle East | 2 – 5 business days | Documentation must be complete |
| Asia & China | 3 – 7 business days | Commercial shipments may require extra paperwork |
| Africa (Ghana, South Africa, Kenya, etc.) | 2 – 6 business days | Varies widely by country |
These are working-day estimates and do not include weekends or public holidays. Peak seasons — festive periods and major sales events — can add a day or two.
What It Costs
Shipping cost is not a single flat rate. It is calculated from a combination of factors:
- Destination zone — farther destinations cost more.
- Chargeable weight — the higher of actual weight and volumetric weight.
- Service level — express costs more than standard.
- Additional services — insurance, signature on delivery, special handling.
- Customs duties and taxes — usually paid by the receiver, depending on the shipping terms.
- Packaging — if you buy boxes or envelopes from us.
Simple ways to reduce your shipping cost
- Use the smallest box that fits. Reducing volume reduces volumetric weight.
- Ship documents as documents. A flat envelope is far cheaper than a box.
- Combine shipments. One larger package is often cheaper than two smaller ones.
- Book before 12:00 PM for same-day local delivery instead of paying for next-day handling.
- Ask about regular-shipper rates if you send frequently.
Option: Book a Pickup Instead
You do not have to come to us. If you cannot step out, we can arrange collection from your address within Benin City.
- Send your pickup address Message 08130947747 on WhatsApp with your full address and a nearby landmark.
- Describe the shipment Tell us the item type, approximate weight and destination.
- Confirm the price We reply with a quote for the pickup and the shipment.
- Rider is dispatched A rider or dispatch officer collects the package from your address.
- You receive your tracking number Once processed, your tracking number is sent to you.
Pickup is especially useful for businesses sending multiple packages, busy professionals, and anyone who cannot easily travel across the city.
What You Cannot Send
For safety, security and legal compliance, certain items cannot be shipped through DHL. Prohibited items generally include:
- Explosives, firearms, ammunition and weapons
- Flammable liquids, gases and combustible materials
- Illegal drugs and controlled substances
- Hazardous chemicals and toxic substances
- Counterfeit goods and pirated items
- Live animals and certain animal products
- Currency, negotiable instruments and cash
- Perishable food items without proper arrangement
- Lithium batteries shipped without correct documentation and packaging
Restricted items
Some items are restricted rather than banned. They can be shipped, but only with the right documentation, packaging or approvals. Examples include:
- Phones, laptops and electronics with lithium batteries
- Cosmetics and skincare products
- Medical devices and supplements
- Alcohol and tobacco products
- Certain agricultural products and seeds
- High-value jewellery and precious metals
Common Mistakes to Avoid
These are the issues we see most often at the counter. Avoiding them makes your shipment faster and safer.
- Writing an incomplete receiver address. Always include a landmark or area name in addition to the street.
- Forgetting the receiver's phone number. Without it, delivery attempts fail.
- Under-declaring value. This can cause customs problems and void insurance claims.
- Using a weak or oversized box. Both increase the risk of damage.
- Leaving old shipping labels on the box. Old barcodes confuse scanners.
- Shipping restricted items without checking first. The shipment can be stopped entirely.
- Losing the receipt. Without the tracking number, following up becomes much harder.
- Arriving after closing time. Drop-offs after 6:00 PM move the next working day.
- Assuming all DHL points are the same. Confirm the office you are visiting is one of ours.
